How I Built a System That Handles My Leads for Me

I don’t manage my leads. I build systems that handle them instantly.

A new lead comes in.

It’s qualified, scored, and responded to in under 5 seconds.

No inbox. No delay. No manual follow-up.

The Problem

Manual lead handling looks like this:

  • Form submission

  • Email notification

  • Delayed response

  • Back-and-forth to qualify

  • Slow scheduling

Each step adds friction. Each delay lowers conversion.

The System

I built a 3-part workflow:

  1. Website chatbot

  2. n8n qualification workflow

  3. Automated email responses

Everything runs instantly after submission.

1. Chatbot (Capture)

Embedded directly on the site

Short, guided conversation

Captures:

  • Service needed

  • Problem description

  • Timeline

  • Name + email

Time to complete: under 2 minutes.

Once submitted, it sends a webhook to n8n.

2. n8n Workflow (Qualification)

Incoming data is structured and scored automatically:

  • ASAP → Hot

  • 1–3 months → Warm

  • Exploring → Cold

Then triggers:

  • Confirmation email to lead

  • Structured notification to me

No manual review needed to understand urgency or context.

3. Emails (Response)

Lead receives (within ~5 seconds):

  • Confirmation

  • Clear expectation of next step

  • Human tone (not generic)

Full lead breakdown:

  • Service

  • Problem

  • Timeline

  • Score

  • Contact info

  • Timestamp

Everything is immediately actionable.
